Job Purpose/Summary

This position provides administrative and operational support for special events, community relationships, partnerships, and engagement. It supports the work of all departments and applicable projects, with a particular focus on community relations and partnerships under the leadership of the Executive Director. Ability to work with various work styles, flexibility, managing multiple different tasks at one time, organization, ability to cultivate relationships and make asks, as well as positivity and professionalism are a key. This position will perform any and all reasonable and work-related duties assigned by the Executive Director and Communities In Schools (CIS) of Nevada State Fundraising and Marketing Leadership.

Duties and Responsibilities

Community Services Supports

  • Developing and maintaining positive relationships with school partners, agencies and businesses.
  • Collect required data from program partners. Develop relationships with program partners.
  • Updating MOU and partnership paperwork, maintaining service records and other documents and word processing.
  • Creating, maintaining, and entering information into databases such as NetSuite, TrackVia, and/or CISDM.

Community Relations, Partnerships and Engagement

  • Engage in community relations activities and initiatives.
  • In collaboration with the NENV Humboldt management team, provide additional support to the Site Coordinators involved in community engagement initiatives at school sites (as needed).
  • Support activities of the State Development & Marketing team, including creating and posting social media posts, media relations, interviews, and NENV Humboldt representation.
  • Plan, coordinate, and execute community engagement events including presentations to community organizations, vendor fairs, service clubs, and community partners or stakeholders.
  • Develop and maintain effective relationships with community agencies.
  • In collaboration with NENV Humboldt leadership team, cultivate and develop new programmatic partnerships and maintain ongoing Memorandum of Understandings (MOU’s) in support of school goals and initiatives.

Volunteer Recruitment and Coordination

  • Recruit and oversee volunteers participating in community engagement activities.
  • Conduct outreach and recruitment by presenting to community groups and attending local events to meet and assess potential volunteers.
  • Communicate the organization’s mission during Meet and Greets to ensure attendees understand our purpose and values
  • Communicate with volunteers and business partners on upcoming volunteer opportunities.
  • Ensure all volunteers are aligned with National and Local Communities In Schools of Nevada and Humboldt County School District (HCSD) volunteer policies and procedures.
  • Work closely with Site Coordinators to collect details on events where volunteers are needed and communicate expectations to the volunteers.
  • Maintain the volunteer database for the affiliate, collecting data such as volunteer records and overall volunteering hours for each quarter

NENV Humboldt Special Events & Fundraising

  • Support all NENV Humboldt events including Fundraising, Programmatic and Awareness events.
  • Oversee State Office donor engagement events and secure appropriate volunteer support for each opportunity Coordinate and execute NENV Humboldt fundraising events in collaboration with State office.
  • Manage event logistical details, serving as point of contact when needed, for volunteers, vendors, and community support.
  • Record and track event data and constituent event information, including event goals, sponsorship and in-kind resource donations, event registration, and results.
  • Coordinate with State development and marketing teams on seasonal or special events and speaking opportunities, support community cause marketing events, and help oversee donor appreciation / cultivation events.

Qualifications and Competencies

Qualifications include:

  • Bachelor’s degree preferred (focus on journalism, marketing, or a related field is a plus)
  • Minimum two years event coordination experience.
  • Office Administration or administrative experience is a plus
  • Strong, proven interest in or experience with fundraising, marketing, development, or special event planning for a nonprofit organization is highly preferred.
  • Strong communication and written skills, adaptable, and the ability to shift priorities, adjusting to the needs of the organization
  • Detail oriented and well-organized.
  • Experience with Microsoft Office 365 required.
  • Experience managing donor and volunteer databases.
  • Ability to work well under limited supervision.
  • Well-connected in education, social service and/or business community a plus.
  • Sensitivity to needs of youth and varying ethnic populations.

Work Environment & Physical Demands

  • Work environment is indoors and climate controlled. May be exposed to outdoor weather conditions.
  • Moderate noise levels as found in a business office and classroom setting.
  • Suggest grouping the qualifications and competencies per their relevancy.
  • Use of own automobile.
  • Must be able to pass a criminal background check, possible fingerprinting, and drug screen.
  • Travel required to and from school sites.
